Where AI Pays

Five places a small business leaks money.

Every one of these is measured by someone independent, with the sample size attached. Run the arithmetic on your own numbers, not ours. If none of them is your problem, that is the more interesting conversation and we would rather have that one.

01

Leads you have already paid for

20%

of home service pros reply to a lead within the hour, while 55%+ of customers expect it

Jobber Home Service Trends, n=1,050 owners, ±3% at 90% confidence

The money is already spent before the lead is lost. Contractors report paying $70 to $130 per lead on Thumbtack and $287.99 to receive leads on Angi, with one reviewer summarising it as one job out of thirty leads. The enquiry is not the scarce thing. The reply is.

An agent that answers every enquiry in seconds, qualifies it, books it, and writes it back to whatever you keep records in.

02

Hours that are worked but never billed

3.0 of 8

hours a day are billable at the average law firm. Only 2.6 get invoiced.

Clio Legal Trends 2025, aggregated platform data across tens of thousands of US legal professionals

That is 5.4 hours a day per fee earner going into admin, unlogged client communication, time entries reconstructed from memory, and scheduling. Clio's own data shows firms growing 20%+ use time-saving automation nearly three times as often as shrinking ones. This applies to anyone who bills by the hour: accountants, consultants, agencies, surveyors.

Capture and draft: intake, notes, time entries and follow-up written as the work happens instead of reconstructed on a Friday.

03

Money sitting in invoices nobody chases

$17,700

average owed, with 59% of small businesses carrying invoices 30+ days overdue

Intuit QuickBooks Late Payments Report 2026, ~5,000 respondents per wave, firms of 0-100 employees

The revealing number is not the debt, it is the surrender. 63% of owners chase manually, 52% write invoices off up to ten times a year rather than bear the cost of chasing, and half describe late payment as an inevitable cost of doing business. It is the one job on this page that nobody claims to enjoy.

A daily sweep of the overdue ledger that tiers the message by age, holds back disputed accounts, and escalates rather than nags.

04

The owner doing the administration

45%

of firms with 1-4 staff have the owner personally handling compliance. At 250+ staff it is 9%.

UK Department for Business and Trade, Business Perceptions Survey 2024, n=2,000, fieldwork by IFF Research

Small firms do not have less administration. They have nobody else to put it on. The same survey finds the burden per person is four and a half times heavier at 1-4 staff than at 10-49. Separately, firms with 1-9 employees report spending only 46% of the working week on their actual job.

Take the repeating half off the owner: scheduling, chasing documents, routine correspondence, the report rebuilt by hand every Monday.

05

The AI you already pay for, which knows nothing about you

76% / 14%

of small businesses use AI. 14% have it integrated into how the business actually runs. 73% want help doing it.

Goldman Sachs 10,000 Small Businesses Voices, n=1,256, surveyed by Babson College and David Binder Research, Jan-Feb 2026

This is the biggest leak and the least visible. Microsoft has 3.3% of its users paying for Copilot. HubSpot's customer agent is switched on at 2.7% of its customers. It is not that the models are bad. It is that nobody wrote down how the business works, so the AI has nothing to reason over, and everyone goes back to asking you. HubSpot shipped a dashboard in 2026 that scores how incomplete your data is, under the line "bad context is worse than no AI". That is an admission.

We write the business down: how it prices, who covers what, what the policies are, what has been decided. Every agent then runs on it, and so can your team.

What We Build

Everything below has been built. None of it ships as a box. You bring the problem you actually have and we build for that one, on the tools you already run.

Lead Desk

Answers every inbound enquiry in seconds, qualifies it, books it, writes it back. Where most of our work goes today.

Support Desk

Handles routine customer requests, resolves what it can, escalates what it should not decide alone.

Collections

Sweeps the overdue ledger daily, tiers the chase by age, protects disputed accounts.

Scheduling and intake

Books, reschedules, fills cancellations from a waitlist, collects what you need before the appointment.

Quoting and estimates

Turns a request into a priced, margin-checked quote and flags the ones a human should price.

The company brain

An operating layer that holds how your business actually works, so your team and your agents ask one place instead of asking you. Built as part of any engagement, or on its own if that is the job.

Where AI Does Not Help

Every vendor in this market publishes what AI fixes. Here is what it does not, because you will find this out eventually and we would rather it came from us.

Appointment reminders do not fix no-shows

The only controlled study we could find moved no-shows from 16.3% to 15.2%. One percentage point, across more than 76,000 patients. Every dental AI vendor sells reminders as a no-show cure. The real rates are 14-19% and a reminder barely touches them.

BMC Health Services Research, 10 clinics, 76,000+ patients

The missed-call statistics in this industry are fiction

"62% of small business calls go unanswered" traces to a local SEO agency monitoring 85 businesses for 30 days in January 2016. Vendors re-date it as 2026. "$126,000 lost a year" is arithmetic stacked on top of it with no source at all. If a competitor quotes either at you, that is worth knowing.

If you are already fully booked, none of this is urgent

72% of home service firms report being consistently booked with limited availability, and only 3% struggle to fill the schedule. If you are turning work away, a missed call is not your problem and we will say so rather than sell you something.
